1. Scope of Original Quotation
All quotations are based on the drawings, specifications, and information provided at the time of pricing. The quoted price covers only the works explicitly detailed within the agreed scope.
2. Unforeseen Additional Work
Any work not identified or reasonably foreseeable at the time of quotation—due to hidden conditions, incomplete information, or site-specific issues—shall be treated as additional work. This includes, but is not limited to:
Structural defects or hidden damage/rot
Ground conditions differing from those expected
Unrecorded services (gas, water, electrical, drainage)
Design changes or client-requested variations
Such work will be:
Clearly identified and communicated to the client as soon as reasonably possible
Priced separately and submitted as a variation or additional quotation
Subject to client approval before commencement, unless immediate action is required for safety or compliance
3. Material Cost Fluctuations
Quoted prices are based on material costs at the time of estimate. Due to market volatility, supplier pricing, or shortages:
If material costs increase significantly before procurement, the contractor reserves the right to adjust the quotation accordingly
Evidence of cost increases (e.g., supplier invoices or updated quotes) will be provided upon request
Where possible, alternative materials or cost-saving options will be discussed with the client prior to proceeding
4. Validity Period of Quotation
Unless otherwise stated, quotations are valid for a period of 30 days from the issue date. After this period:
Prices may be subject to review and adjustment
Availability of materials and labour cannot be guaranteed
5. Variations and Client Changes
Any changes requested by the client after acceptance of the quotation may affect cost and timeline. All variations will:
Be confirmed in writing
Include a revised cost and programme (if applicable)
Require client approval before implementation
6. Delays and Programme Impact
Unforeseen work or material cost changes may impact project timelines. The contractor will:
Notify the client promptly of any expected delays
Provide revised schedules where necessary
7. Emergency or Safety Work
If unforeseen conditions pose an immediate risk to safety, property, or compliance, the contractor reserves the right to undertake necessary remedial work without prior approval. The client will be informed as soon as possible, and costs will be charged reasonably.
8. Payment for Additional Works
All additional or varied works must be paid in accordance with the agreed payment terms. The contractor reserves the right to:
Invoice additional work separately
Request interim payments for significant variations
9. Acceptance of Terms
Acceptance of the quotation or commencement of work constitutes agreement to these terms and conditions.
